Privacy Policy

This draft explains what Partner Hub processes, why it is needed, and the controls available to customers and operators.

Information we process

We process account, organization, configuration, integration, agent-health, command, approval, and audit information needed to provide and secure Partner Hub.

When an administrator connects Google Workspace, the specific Google data available to Partner Hub depends on the scopes that administrator grants. Those scopes may permit mailbox reads and draft or send operations, calendar operations, and contact reads.

Google user data and Limited Use

Partner Hub's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

We use Google user data only to provide and improve the user-facing integration features the customer requests, to protect those features, and to meet legal obligations. We do not use Google user data for advertising, sell it, or use it to train any artificial-intelligence or machine-learning models.

Microsoft 365 data

When an administrator connects Microsoft 365, Partner Hub uses Microsoft Graph to process the mailbox, calendar, contact, and directory information permitted by that administrator. We use that data only to provide the connected features the customer requests, protect those features, and meet legal obligations. We do not use Microsoft 365 data for advertising, sell it, or use it to train any artificial-intelligence or machine-learning models.

AI processing

When a customer uses an agent feature that needs message understanding or generation, relevant message content and instructions may be sent to OpenAI for processing. Partner Hub uses that processing to return the requested result; it does not permit the content to be used for model training.

We use OpenAI to power AI features. OpenAI does not use data we send through its API to train its models; sharing is disabled for our organization. OpenAI may keep API data for up to 30 days to monitor for abuse, then deletes it.

Operator access and break-glass reads

Authorized customer operators can review data within their tenant according to their assigned role. Exceptional administrator access, including logged break-glass reads used for support or security response, is restricted and recorded in the audit trail.

Retention, disconnect, and deletion

We retain integration records and operational history for as long as needed to provide the service, protect customers, and satisfy contractual or legal requirements.

When a Google Workspace mailbox is disconnected or removed, Partner Hub immediately deletes the stored Google sign-in credential for that mailbox and asks Google to revoke it. Partner Hub does not store a per-customer Microsoft 365 credential; an administrator removes Partner Hub's access in Microsoft 365.

Customers may email privacy@trustednetworx.com to request deletion of eligible account or integration data, and we complete verified requests within 30 days. Some security and audit records may be retained for a limited period when needed to investigate incidents, demonstrate authorized activity, or comply with law.

How we share data

We share data only with service providers needed to operate Partner Hub, with customer-authorized integrations, or when required by law. Providers receive only the information needed for their role and must protect it under contractual and security obligations.

  • We do not sell personal information or Google user data.
  • We do not use customer data to serve advertisements.
  • We do not allow model providers to train on customer message content.

Security and contact

We use access controls, tenant isolation, encrypted transport, approval checks, and audit records to protect Partner Hub data. No system can eliminate every risk, so customers should promptly report suspected unauthorized access to their TrustedNetworx representative.
